How to Choose the Right Translation Format in Ontario

The right format is decided by the receiving institution, not by guesswork. This guide gives a simple decision path so you can avoid ordering the wrong service.

Start with one question

What exactly does the receiving institution ask for? If the requirement names only “certified translation,” you usually start with regular certified translation. If it names ATIO, Ontario-certified translator, or notarization, that changes the route.

Simple decision path

  1. If the institution names ATIO or an Ontario-certified translator, choose ATIO-certified translation.
  2. If it names notarization, choose notarized translation.
  3. If it only says certified translation, regular certified translation is usually the starting point.
  4. If you are not sure, submit through the form and include the recipient name.

What usually points to each format

  • Regular certified translation: IRCC, many schools, employers, passports, and standard official-use cases in Canada.
  • ATIO-certified translation: OINP, licensing bodies, courts, regulators, and requirements that name Ontario-certified translators.
  • Notarized translation: cases where notarization is explicitly required.
Do not choose the more expensive option just because the document looks important. That is the wrong test.

What to include in your order notes

  • The exact receiving institution name.
  • The wording of the requirement, if you have it.
  • Whether the translation is for IRCC, OINP, school, licensing, court, employer, or another use.
  • Whether the deadline is urgent.

Most common mistake

People often choose a format by document type alone. That leads to overpaying or reordering. The same driver's licence, diploma, or birth certificate can require different certification depending on where it will be submitted.
