IRCC Certified Translation in Ontario

An IRCC certified translation is a full English or French translation of a foreign-language document, accompanied by a signed translator declaration confirming accuracy. Immigration, Refugees and Citizenship Canada accepts certified translations from any qualified translator. If the translator is not a member of a provincial association, the translation must be accompanied by a sworn affidavit. Translation Agency of Ontario produces both formats from offices in Toronto and Ottawa, with files ready in one to two business days.

What IRCC actually asks for

IRCC published instructions list four elements that any acceptable translation must contain: a complete translation of the original document (every stamp, seal and marginal note), the translator full name and contact details, the translator declaration of accuracy, and a sworn affidavit if the translator is not certified by a recognised body. We assemble the package exactly in this order so the case officer does not need to chase missing items.

Two valid routes

For most applicants the first route is enough: a regular certified translation issued by Translation Agency of Ontario, with our agency declaration and contact information. The second route - a sworn affidavit before a notary or commissioner of oaths - is used when the receiving program specifically asks for it or when the source language has no certified translator available. Common rejections and how we avoid them

The most frequent reasons IRCC returns a translation are: a missing back side of a civil document, a stamp described as "illegible" without context, a translator signature without contact details, or the wrong recipient program assumed (OINP files are not the same as federal IRCC files). We catch these before sending the file to you. Inconsistent spelling of names across a birth certificate, passport and marriage certificate is the second-most common issue - send all related documents together so we can verify consistency at the source.
